Recurring Fees and Payout Fees can be used to subtract from an Account's Balance.
When do you use a Recurring Fee VS a Payout Fee?
Recurring Fees are best used for consistent fees that happen on a schedule. A monthly booth rental fee for vendors is a great example of this kind of fee.
Payout Fees are best used for fees which are tied to the payout process. A Payout Fee designed to pass along the cost of of the $1.79 integrated payout fee from Checkbook is a great example of this kind of fee.
NOTE: Payout Fees are a new feature built just for Next-Gen. Enjoy!
Applying Recurring Fees
To apply a Recurring Fee to an Account, first go to the Account Detail Page for the Account you would like to apply a fee to (using the search bar or Menu » Accounts » Select Account). At the top of the pop-up menu, click on the three dots to reveal a drop down with the option to "Add Recurring Fee".
––Adding a Recurring Fee to an Account––
Customizing your Recurring Fee
Start by giving your fee a name, describing what it will be used for (e.g. Vendor Booth Rental Fee). This name will be used when applying fees, and will be shown on consignor settlement receipts.
The frequency can be weekly or monthly. Weekly fees can be charged every week, or every two weeks, and so on. Monthly fees can be charged on any day of the month. Fees are typically charged at midnight, and will never be charged the same day it is applied to the account.
Recurring fees may cause an account balance to go negative. If this happens, you may wish to resolve this negative account balance. While you can't invoice accounts from ConsignCloud, you can find any accounts with a negative balance by filtering the accounts table. From there, you can invoice accounts using a third party system, and then apply the amount of the invoice with a manual balance adjustment.
Payout Fees
Payout Fees are a new feature exclusive to Next-Gen, allowing stores to charge consignors a fee at the time of payout. These fees are often used to pass along processing fees (such as the $1.79 Integrated Checkbook Payout fee) back to consignors.
When settling account balances, you can charge a payout fee by entering the desired amount into the fee field. If you are settling up multiple accounts at once, the fee will be applied to every account being payed out. However, this fee applies only to the current payout, so you’ll need to re-enter it each time you settle account balances.
––Adding a Payout Fee when Settling Account Balances––
Payout Fees will show up in the summary below the payout to show you how the fee will be applied to an Account. This also shows how many Accounts the Payout Fee applies to in case Account Balances are being settled in bulk.
Frequently Asked Questions
What happens if I delete a recurring fee?
Recurring fees can be deleted from the account's page under the Recurring Fees Tab at the bottom. Deleting a recurring fee will not delete any of the balance entries from previous fees. No future charges will be applied.
Why can't I modify the frequency of a recurring fee I already created?
Rather than modifying the frequency of an existing recurring fee, you should create a new fee with the desired settings and then delete the old fee.
This makes it more clear how the change will affect when the fee is charged.
How do I make a one-time fee in ConsignCloud?
If you want to assess a one-time fee (which is not connected to the payout), we would suggest making a Manual Balance Adjustment to the Account, and adding the name/reason for your fee in the memo line. This will appear on the payout receipt.
A payout fee is also one-time, so depending on your needs, a payout fee will also work well.
