Understanding the Create Item menu to make adding inventory more efficient

One of the most important benefits of ConsignCloud is the time that it saves you while processing inventory. An average resale store can spend many thousands of dollars in wasted time every year if it doesn't process inventory efficiently.

Creating a New Item

To add inventory to your store, click "Create New Item" from your home screen, or click the "+" icon next to the Items tab on the left-hand side of your screen.



Once you click that button, you will be presented with the item creation sub-menu, which will pop-up on the right-hand side of your screen. From here you can begin to input all the data for your item, including which account to associate it with, what Category it goes into, details like Brand, Color, and Size, as well as adding any images you want to associate with the item.


In order to save an item, you will have to input at least Tag Price for each item. Depending on the Inventory Type, you may also be prompted to fill out other required fields if they are left blank (I.E. Buy Outright items always must have the Account field filled in, but Retail items do not have to be associated with an Account).


Understanding Item Fields

ConsignCloud has 24 different Item Fields which you can edit in the Item Creation sub-menu. When you create your first item, ten of these will be automatically selected and visible for you to fill out. These ten fields are below:

The basic pre-set fields for item entry are below:

  1. Account

  2. Category

  3. Item Type

  4. Brand

  5. Color

  6. Size

  7. Description

  8. Images

  9. Quantity

  10. Tag Price

ConsignCloud will automatically hide these other fourteen fields, but these can selected and edited by clicking "Edit Fields" at the very bottom of the page.


A list of these fields is below:

  1. Inventory Type

  2. Split

  3. Tags

  4. Weight

  5. Location

  6. Shelf

  7. Surcharges

  8. Tax Exempt

  9. Expiration Date

  10. Schedule Start Date

  11. Terms

  12. Cost Per Unit (for retail and buy-outright items)

  13. Title

  14. Add Divider (to help with visual clutter)

What is Item Type?

If you are used to the ConsignCloud Classic, you may wonder what the "Item Type" field is. This is the same field as "Description" but has been renamed for greater clarity.

P.S. Make sure to not get "Item Type" confused with "Inventory Type"! Item Type is a type of item you create in your store, which can be done directly from the Create Item sub-menu. Think "Shirt," "Shoes," "Necklace" or "Book"!

Inventory Type is one of the three inventory types which the ConsignCloud team created (either Consignment, Buy Outright, or Retail). These are used by every consignment store which uses ConsignCloud.

Can I save which fields automatically appear for me to fill in?

Yes! When you click create item for the first time, ConsignCloud will automatically show you the ten basic fields (listed above), but there are fourteen other fields operating quietly in the background. If your store commonly edits those fields, you click the "Edit Fields" to edit which fields you can edit in the Create Item sub-menu. Once you've added a field, click "Save Fields" to save these fields as your preset item fields.


Next time you create an item, you'll find all these fields appear and ready to be filled out!

NOTE: Only admins can edit which item fields appear in this menu.

How do I sell an unlimited numbers of items?

If you want to create an item which you can sell as many times as you want, click on the "Quantity" field and delete the quantity, leaving the field blank.

If you do this, this item item will remain 'untracked' and can be sold an unlimited number of times.

Custom Fields

Sometimes there are things store owners like to track about an item that ConsignCloud doesn't have a built-in field for, like MSRP or Condition. In cases like this, it's very easy to add your own Custom Fields right in the Item Creation screen!

You can both create and manage Custom Fields right within the Item Creation screen. Search for those fields and scroll down to the bottom to find them!


You can choose from a number of field types to create your Custom Field. Click "Add" to add this as a field to your items, and then you can fill it in for the particular item you are working on.


eCommerce Fields

If you've enabled our Shopify integration, you'll be given a few additional options to fill in:

Weight β€” ConsignCloud syncs this field with Shopify for the purposes of calculating shipping charges for online sales.

List on Shopify β€” whether this item should get listed to your online store.

In either case, defaults for these fields can be configured in your eCommerce Settings.
